Save the Children seeks a Project Admin Assistant, based in Bandung

Save the Children is an international NGO and the world's top independent charity for children in need. Since 1919, we have been fighting for children's rights, saving their lives and providing hope for brighter futures worldwide.  In Indonesia, Save the Children currently works in eleven provinces, has staff of approximately 170 local professionals, and programming in Child Protection, Education, Health and Nutrition, Disaster Risk Reduction, and Humanitarian Response.  Save the Children in Indonesia is seeking to fill the following position:

Project Admin Assistant
1 position, based in Bandung
Code : PAA-WJ

The office Administration assistant will be responsible for administration, logistical and procurement of Bandung Sub Office activities and providing support to the Logistics & Admin Officer in the routine office and secretarial support services.

Reports to: Logistic and Admin Officer


KEY AREAS OF ACCOUNTABILITY:
1.       Administration
·         Update routine office correspondences
·         Maintain a proper administrative filing system
·         Daily supervision of office boy
·         Assist in coordination of various staff meetings at office and other places and other administrative tasks
·         Assist to arrange the reporting process to the local authorities for any expatriate visit.
·         Assist to arrange the accommodation for visitors and consultants.
·         Assist to arrange the payment process for communication, electricity, and any other bills for the office needs
·         Arrange documents and cargo delivery
·         Perform receptionist role and keep up to date the letters in and out
 
2.       Logistics/Procurement
·         Purchase stationary and other office supplies as needed
·         Maintain store ledger and record tracking of stationaries and supplies
·         Assist in asset inventory system of the office with proper paperwork
·         Perform any other tasks directed by his/her line supervisor

 
QUALIFICATION
·         Minimum Diploma degree or equal
·         Minimum of  2 years experience in general and 1 year in its administration sector
·         Excellent of interpersonal, communication and filling system
·         Intermediate English written and spoken skills
·         Able to operate Microsoft Office
·         Able to perform a minimum decision making
