Greenpeace in Southeast Asia
Greenpeace opened our first office in
Southeast Asia in 2000. In that time we have led successful campaigns throughout
the region, securing fresher air, cleaner water and a healthier environment
through changing industry practices and government policies. Greenpeace
actively campaigns across the region to catalyze an energy revolution, protect ancient
forests and our oceans, create a toxics-free future and create a shift to sustainable
agriculture.
Greenpeace has three offices in Southeast
Asia—in Thailand, Indonesia and the Philippines and each office is composed of five
departments: Campaigns, Fundraising, Communications, Mass Mobilization and Organizational
Support. Currently, Greenpeace has more
than a 140 staff across the region, excluding the direct dialogue fundraisers.
COUNTRY DIRECTOR ASSISTANT INDONESIA
Position Summary
In this role, you will assist
the Country Director in improving and implementing management systems and
procedures primarily in the areas of program planning and monitoring, financial
oversight of the country program budget and expenditures, and ensuring the
provision of logistical and administrative support to program and project in
the country.
This is a full-time position
based Indonesia , with an initial 2 year contract
Key Duties
·
Assist
the Country Director in implementing systems and procedures for effectively
managing country program, especially with regard to budget planning, monitoring
and reporting.
·
Assist
the Country Director in the organization of program meetings and related
travels, including Country Program Planning processes.
·
Develop
and maintain cooperation with GPSEA Programme Department.
·
In
coordination with the Org Support Department, regularly monitor and keep track
of program expenditures, including monitoring of program staff submission of
monthly reconcilers and ensuring budget requests submission and approval on
time.
·
Assist
the programme department and Country Director in the preparation and submission
of projects monthly and quarterly reports, projects evaluation.
·
Maintain
country programme calendar, ensuring it is being a living document, through
close communication with programme unit/department managers.
·
Develop
and maintain close cooperation with other countries assistants.
·
Assist
in setting up of in-country program coordination council and serve as a
Secretary to the team, taking minutes, keeping records and following up tasks
and requirements related to team operations.
·
Participate
in program discussions and planning regarding strategic issues within GPSEA.
·
Help
coordinate and facilitate information flow within GPSEA regarding program
developments and operations.
·
Provide
assistant to Country Director’ day to day operations/logistical needs including
arranging schedules, booking of VCs,
arranging travels (in coordination with the country Admin), managing
incoming and outgoing messages, filing of relevant data/records,
·
Perform
other job-related duties as requested or assigned by the Country Director.
Skill and Qualifications :
·
Bachelor’s
degree/ or at least a Diploma or A level certification
·
Administration
or related course
·
At
least 5 years of relevant experience in providing support to executive roles
·
Excellent
communications skills in English (both written and oral)and at least one of the
major language spoken in the Southeast Asian region
·
Strong
documentation, writing and presentation skills.
·
Proven
ability to prepare meeting minutes and reports
·
Demonstrated
ability in planning and organizing meetings
·
Excellent
computer skills including mastery of program on database management and budget
preparation
·
Ability
to carry out budget forecasting and prepare annual budgets for the program team
·
Networking
skills and ability to communicate with a wide range of sectors and
organizations
·
Proven
record of keeping confidential information
·
Adapt
at working with people of different cultures
·
Ability
to work effectively in a team but also to work independently and unsupervised.
THINGS YOU SHOULD KNOW BEFORE APPLYING

WORKING HOURS
Normal
hours of work for full time Employee will be forty (40) per week or (5) days in
a week, at 8 hours per day excluding an hour lunch break. This will be from
Monday to Friday, between the hours of 9:00 am to 6: 00 pm. Ordinary hours of work may be varied as agreed
between staff and the line managers.
LEAVE
A permanent employee
will be entitled to the following leaves:
Annual Leave: 20
days
Parental Leave: As per labor laws and Greenpeace policy
Sabbatical leave: 2
months paid leave after 5 years of continuous service
Compassionate leave: maximum of
5 days for the death of significant others
SALARY
In determining salary
offer for this position, Greenpeace applies its Salary Grading Process, taking
into consideration the job description and applicant’s previous experience, and
the organization’s salary grade.
