GIZ Indonesia for Sustainability and Value Added in Agricultural Supply Chains in Indonesia (SASCI+) Project: Driver & Office Assistant - Palu

 

The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is an international cooperation enterprise for sustainable development with worldwide operations on behalf of the German Government. 

GIZ is implementing currently 2 projects from their office in Palu. The project “Sustainability and Value Added in Agricultural Supply Chains in Indonesia” (SASCI+) focuses on improving sustainability in the natural rubber, palm oil, cocoa, and coffee supply chains and supports local communities in and around the Lore Lindu Biosphere Reserve. The “Forests and Climate Change Program” (FORCLIME) supports field-based activities in selected districts of Central Sulawesi to Reduce Emissions from Deforestation and Degradation (“REDD” activities) and develop a forest-based bioeconomy. Both projects funded by the German Federal Ministry for Economic Cooperation and Development (BMZ). 

To support the SASCI+ and FORCLIME team working in the Lore Lindu Biosphere Reserve, GIZ is recruiting on qualified position as driver and office assistant to be based in Palu. 

Driver & Office Assistant - Palu 

 

A.    Responsibilities 

  • Safely and responsibly perform all official travel using project vehicles.
  • Manage project vehicle matters (logbook, insurance, tax, STNK/car licence) and prepare vehicle-related vouchers accordingly.
  • Ensure that project vehicles are always road-worthy in compliance with laws and regulations.
  • Ensure that project vehicles are regularly serviced and maintained.
  • Monitor the state of project vehicles daily and ensure that they are clean and tidy.
  • Keep updated on all available information on traffic and road conditions, accessible routes and locations.
  • Keep office premises clean and tidy.
  • Run work related errands for the GIZ team in Palu and assist with other office services, as required.

 

B.    Tasks 

1.    Vehicle Management

Driving and chauffeuring

  • Drives project vehicles safely and chauffeur’s GIZ staff, visitors and guests as needed to implement SASCI+ and FORCLIME activities.
  • Helps with the transporting of goods.
  • Completes the vehicle logbook correctly and conscientiously in accordance with GIZ standards.
  • Does not use the vehicle for own private purposes at any time. Private use of GIZ project vehicles is considered as serious misconduct and will immediately lead to a warning and may result in dismissal.

 

Services

  • Cleans the interior and exterior of the vehicles regularly.
  • Checks oil, water, brakes and brake liquid, tyre pressure (including spare tire), battery levels and the entire vehicle, monthly or every 5,000 km (whichever is first), headlights, brakes, bodywork for dents etc.
  • Responsible for the project vehicle documents and their good condition, keeps vehicle logbook daily and registers each monthly check.
  • Calculates daily parking and toll road fees and settles the cash advance immediately after the completion of each trip.
  • Reports the need for maintenance and carries out minor repairs.
  • Immediately reports all involvement of GIZ vehicles in accidents, including minor accidents, damage, loss or theft of vehicle fittings.
  • Always ensures unrestricted availability of vehicles and reports restrictions immediately.

 

Knowledge management

§  Uses all available information (including current radio broadcast on traffic conditions) to update daily the knowledge of road conditions, current passable routes and locations, and shares this information with other office drivers. 

 

2.    Office Services and Administration

General Services

§  Cleans and tidies the office premises.

§  Sets up and prepares the meeting rooms as instructed.

§  Provides services at meetings, e.g. serves coffee and tea for guests and visitors.

§  Runs errands, e.g.: buying material or meals, photocopying, if and as required.

§  Assists in proper maintenance and repair of office premises and equipment, as relevant.

§  Reports major damages to office premises and equipment.

 

Supports Office Communications and Administration

  • Operates the telephone and informs staff of important communications.
  • Makes photocopies and scans documents, if and when required.
  • Supports the Office Manager and/or Finance Officer in collecting project funds from the bank, paying office bills, and buying small quantities of office supplies and stationeries.
  • Supports and checks office logistics (supplies & stationeries) and reports it to Office Manager and/or Finance Officer.
  • Supports the office for messenger services, e.g.: sending letters and messages.
  • Assists in the logistical management of the meetings, workshops and other activities of the project, such as documenting events (taking photos).
  • Supports with filing and organizing support documents of project.
  • Supports with labelling inventory. 

3.    Other duties/additional tasks

  • Assists other colleagues as needed if there is no duty travel and carries out other office work as assigned.
  • Report any incident whilst off duty that may affect his driving license entitlement, as well as any newly known health problems that may affect his ability to drive.
  • Undertake further job training & willingness to upskill related to his position and duties - corresponding measures is agreed with management.
  • Overtime has to be informed and/or requested prior in writing to the admin and finance officer or office manager. 
 

C.    Required qualifications, competences and experience 

Formal education

§  Senior High School Graduate 

Professional experience

§  Holding a valid driver’s licence (B for car and A for motorcycle) is required.

§  At least 3 years’ professional experience as a driver, preferably in Lore Lindu / Central Sulawesi, with references.

§  No major accidents in the past 3 years.

§  A clean criminal record.

§  Discipline and punctuality, resilience and patience, appropriate appearance and attire.

§  Very good knowledge and familiarity with Lore Lindu area.

§  Knowledge of English is considered an advantage. 

Essential skills, additional competences and other knowledge

§  Basic working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office).
 

Duty Station: Palu, Central Sulawesi
