Yayasan Plan International Indonesia Job Vacancy: Admin and Youth Engagement Assistant

 

Yayasan Plan International Indonesia is presently implementing its country strategic 4 (CS 4) covering fiscal year 2017 to 2022, where the country objective has been defined as “to identify and facilitate the removal of obstacles that prevent children from enjoying their rights and participating fully in Indonesian society”. The organisation’s purpose is to “strive for a just world that advances children’s rights and equality for girls”. This goal will be achieved by providing technical support and implementing quality programs and projects through partnership. An effective and efficient communications strategy is a must for Plan Indonesia to share the outcomes of these projects to influence different actors, specially state authorities and to position Plan’s profile within and outside at different levels – starting from community, sub district, district to national, regional and international levels.  Yayasan Plan International Indonesia invites highly competent, experienced and committed professionals to fill the following position :

ADMIN AND YOUTH ENGAGEMENT ASSISTANT               
ROLE PURPOSE

Yayasan Plan International Indonesia (Plan Indonesia) is working tirelessly to fulfil the rights of children, especially girls, especially trough advocacy works. Following current pattern in Influencing Department, beside day to day administrative works, major activities and events which require a lot of resources in their implementation, such as the annual International Day of the Girl's Girls' Takeover (IDG-GTO) agenda and the Girls Leadership Program, will be conducted. Responding to this needs, influencing department will recruit Admin and Youth Engagement Assistant, to conduct and complete administrative works and requirements of day-to-day and event based activities.

Admin and Youth Engagement Assistant will work under Campaign and Youth Engagement Coordinator and be responsible for working on all administrative requirements of various Plan Indonesia’s Influencing Department’s activities including campaigns and advocacy activities such as taking meeting notes, day-to-day administration, administrative work for hearings/hearings and seminars to workshops with stakeholders and policy makers and communication, especially those that require the involvement and role of children and young people. Admin and Youth Engagement Assistant will also help Comms Division’ with administrative requirements on activities related to campaign and advocacy.

The key competencies required for this position will be: excellent administrative skills, such as recording and filling administrative forms; adept with technology especially Microsoft office, Google forms, meeting platforms such as zoom; familiar with SAP Application; good command in Bahasa, English would be a plus, in written and spoken; familiar with gender equality issues. The experience needed for this position will be minimum 2 (two) years of experience in working on administrative jobs.

DIMENSIONS OF THE ROLE

  • Collect and complete financial reporting needs such as receipts, liquidation forms, reimbursement forms, and so on.
  • such as hiring consultants, developing partners contract and requesting payments and other activities.
  • Coordinate with the procurement and finance department at YPII for administrative tasks.
  • Operate Plan’s Systems Administrators Program (SAP)
  • Ensure and resolve administrative needs related to child protection such as informed consent, risk mitigation, ethics and so on.
  • Coordinate with potential participants or resource persons, especially children and young people, to technically facilitate their participation in activities (registration, transportation, fee, etc).
  • Write notes and keep records of various meetings held by the influencing department.
  • Complete various administrative work that appears in future activities.

TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE

Qualifications:

  • Bachelor’s Degree with minimum 2 years of experiences in administrative or clerical work.
  • Adept at technology, such as Microsoft Office, Google forms, meeting platforms such as zoom.
  • Experienced in working on administrative requirement such filling forms, collect invoices, develop contracts, etc.
  • Experienced in working on events, projects, especially in non-governmental organisation is highly desired.
  • Familiar with administration system such as SAP.
  • Good writing skills, familiarity with legal terms is a plus.
  • Familiar with gender equality issue is a plus.
  • Team player with good communication skills
  • Proven ability to work under pressure with multiple concurrent demands

PHYSICAL ENVIRONMENT

Duty station is in Jakarta with frequent attendance to Plan Indonesia Jakarta Office. Office environment is open space with shared table and locker. Very rare travel to field. During COVID-19 pandemic, mostly working from home until further notice from the office.
