vacant position: Administration Officer Yayasan Rumah Energi (Jakarta based)

I.        Background

Yayasan Rumah Energi (YRE) was established in 2012 in the social and humanitarian fields. The organization is mandated to contribute and create positive impacts on poverty alleviation, strengthening the livelihood of grassroots’ communities, adaptation and mitigation to climate change and assisting in disaster risk reduction through innovation and shared knowledge. The overarching mandates are translated into YRE’s 3 (three) main YRE programs, namely: i) Renewable Energy; ii) Sustainable Food; and iii) Social Business Incubation. We deliver our program through policy advocacy; survey and data analytics; R&D of products; enabling market ecosystem of renewables and agriculture; and building capacity of grassroot communities. YRE team consists of 18 staff with team members located in 4 (four) provinces.

Our flagship program is the Indonesia Domestic Biogas Program (BIRU). BIRU has facilitated the installation of 26.247 biodigesters in 17 provinces across Indonesia. The program has impacted over 121.000 people among which 27.880 people are farmers; trained 1.458 local masons; 153 local partner including Micro Finance Institutions, SMEs and universities. The program applied a blended finance model where financing are sourced and combined from government budget, corporate CSRs, carbon credits, micro loans from MFIs and users contribution. YRE has also been providing social business incubation facility to women entrepreneurs through our Pro Women, Puan (Desa) Inspiratif programs and SCORE Project. In 2020, YRE has just launched the Green Cooperatives Program to raise awareness and increase Indonesia’s cooperative role in mobilizing climate finance for renewables and sustainable commodities. In 2022 we also run the HATI Kalimalang Project as an effort to participate in environmental conservation.

Currently YRE is looking for an enthusiastic, creative and experienced Administration Officer to join YRE’s team.

II.         Scope of Work

The Administration Officer will be assisting Operation Manager and Finance Manager in carrying out administration works in compliance with Standard Operations Procedures.

III.      Task and Responsibilities

The Administration Officer will be tasked with the following duties:

1.    General office management and secretarial tasks

a.    Provide secretarial support of the YRE office, including drafting letters for the YRE’s activities and Programme / Projects.

b.   Register and administer all incoming and outgoing letters and documents of the office

c.    Providing, distributing, and tracking office supplies and office sundries

d.   Tracking and monitoring communication, internet and electricity utilities of the office

e.    Organize delivery of documents and programme equipment

f.     Assist the Operation Manager in the process of maintaining personnel administration for the YRE’s staff as required;

g.    Maintain well-ordered administration and filing system in compliance with administration requirements and procedures and Standard Operating Procedures;

h.   Organize travel and accommodation of staff and guests;

i.      Coordinate and make minutes of internal meetings (and external meetings when required);

j.      Collect monthly timesheets from staffs;

k.    Assist the Operation Manager to prepare contracts for vendors/suppliers;

l.      Organize logistic matters of meetings, events of the programme / project under YRE

2.     Assist the Operation Manager in keeping updated legal status of Yayasan including but not limited to: domicile letter and permits

3.     Procurement:

a.    Undertake procurement activities as needed by the programme / Project under YRE in cooperation with other staff

b.   Liaise with counterparts, vendors and other stakeholders of the YRE

IV.   Knowledge, Qualifications and Experience:

The Administration Officers expected to have the following qualifications:

·       Educational background of at least Diploma in Secretary/ Administration

·       Minimum 3 years work experience, preferably in similar industry

·       Minimum 3 years experience in similar position/responsibility

·       Active English (written and verbal)

·       Strong administration (secretarial) skills

·       Good knowledge of personnel and human resource issues

·       Advanced knowledge of major software applications (Excel, Word, PowerPoint)

·       Able to work independently and take initiatives, but also be a team worker

·       Excellent communication skills and ability to create a team spirit in the office

·       Flexible approach with the ability to adapt, pro-active and has a problem solving mindset

·       Responsible, persistent and a team player

V.           Contract Period

The contract period is 12 (twelve) months.
