GGGI Indonesia: Project Assistant Enabling Blue Carbon in Indonesia Project

The Project Assistant plays a vital role in supporting the implementation of the "Enabling Blue Carbon in Indonesia" project, which is led by GGGI as the appointed implementing agency by the Ministry of Environment and Forestry. The project aims to address policy-level gaps related to the inclusion of blue carbon ecosystems in Indonesia's Nationally Determined Contributions (NDC). The Project Assistant will provide operational and administrative assistance, coordination support, and ensure the timely and high-quality delivery of the project activities outlined in the Joint Workplans between GGGI and the Ministry of Environment and Forestry (MoEF), and the Ministry of Marine Affairs and Fisheries (MAF).

PURPOSE
  • Provide operational and administrative assistance to ensure the successful implementation of the "Enabling Blue Carbon in Indonesia" project based on the agreed schedule with the Ministry of Environment and Forestry (MoEF) and the Ministry of Marine Affairs and Fisheries (MAF)
  • Maintain an efficient filing system, database, and documentation related to invoices, activities, events, and minutes of meetings
  • Support coordination and liaison with government counterparts, partner agencies, experts, and other stakeholders
  • Ensuring activity requests and reports from the Work Units align with mutually agreed templates and guidelines
ENGAGEMENT
  • Liaise with the contact persons in each Work Unit (directorate-level) of MoEF, MAF and other relevant ministries and government agencies, including the Start-Up Team of the Enabling Blue Carbon Project to support logistics
  • Collaborate with the Sustainable Landscape team in the Indonesia office and other related projects in GGGI.
  • Maintain positive relationships with the project’s partners, firms and consultants, and other key stakeholders
  • Collaborate and liaise with GGGI’s operations team in province to ensure the Project will be implemented in accordance with GGGI’s ules and procedures.
  • Collaborate and liaise with donor’s administrative team and auditors.
DELIVERY
  • Ensure the timely and accurate update update of Joint Workplans with MoEF and MAF, including the easy-to-access Standard Operating Procedures and templates. This will include:
    1. Ensuring that activity requests from the Work Units will be submitted in accordance with the mutually agreed templates for Terms of Reference, budgets and other requests
    2. Ensuring that activities will be reported by the Work Units in accordance with the mutually agreed templates for Activity Reports and actual expenses
    3. - Ensuring that Hand-over Reports (Berita Acara Serah Terima/ BAST) are developed for each deliverable.
    4. - Ensuring that Project Monthly Reports will be submitted to the Head of the Technical Team according to the agreed schedule
    5. - Organizing and preparing for monthly coordination meetings with the Head of the Technical Team.
    6. - Filing and archiving all documents under the Joint Workplans, including terms of reference of activities and consulting services, activity reports, minutes of meetings, and any variations to the agreed Joint Workplans.
    7. - Ensure that the implementation of Standard Operating Procedures are aligned with the donor requirements.
  • Facilitate regular meetings regarding project’s coordination and management
  • Maintain updated internal Standard Operating Procedures for administration, procurement and other operational aspects are informed to the Project Staff.
  • Keep the Project Calendar up to date with significant events
  • Update database of the contracted partners, consultants, and/or firms, including status of payments and deliverables, in the GGGI SharePoint system
  • Ensure proper archiving of all project deliverables and important documents in the SharePoint system
  • Provide acknowledgement letters as Hand Over documents for each project activity.

 

REQUIREMENT
QUALIFICATIONS
  • Bachelor’s degree in social sciences or administration disciplines or related fields
  • Preferred minimum 3 years of relevant working experience with similar responsibilities as this position
  • Familiarity in working with government agencies in Indonesia.
  • Experience in working with Global Affairs Canada (GAC) and/or other international donor funded projects will be an advantage
  • Fluency in English and Indonesian is a must
